They are seeking a Warranty Administrator to assist in the daily operations of the department supporting both internal and external stakeholders and customers, the role is based at their Heathrow depot. The Role A key focus of the role will be submitting Warranty & Goodwill Claims as well as Elements Claims [Repair & Maintenance Contract] on behalf of their customers. You will consult with manufacturers, suppliers, and customers to ensure claims are dealt with effectively and efficiently. The Warranty Administrator will ensure the database is continually updated and invoices are sent out within the agreed timescales. Key responsibilities of the role include: Ensuring accurate submission of warranty, goodwill, and repair / maintenance contract claims, whilst monitoring daily, weekly warranty and repair / maintenance contracts reports. Ensuring all administrative functions are conducted in accordance with company policy. Reviewing claims reporting systems with the line manager to identify improvements where possible. Managing Elements Yearly planners including scheduling of all service, MOT, and other statutory compliance appointments. Administering claims policy with careful consideration for the best interests of the dealership, manufacturer, and customer. Keeping accurate records of claims submissions, credits, rejections, and customer contributions towards goodwill claims. Informing relevant staff of forthcoming recall campaigns and changes in warranty Ensuring all frontline staff complete the records correctly when a warranty issue is diagnosed on a vehicle. Maintaining relationships with other staff members, specialist repairers and manufacturers' representatives. Offering support and guidance to fellow staff members on all warranty related content and matters. The Person The ideal candidate for the Warranty Administrator role will possess the following experience and attributes: Excellent communication skills with the ability to deal diplomatically with customer, manufacturer’s representatives, and colleagues in a polite and professional manner, both written and verbal. Experience in the preparation and submission of warranty claims Organized with the ability to multitask efficiently. Flexible and approachable manner Initiative-taking and able to work under own initiative. Take accountability for own decisions. Analytical and methodical approach to problems Able to work on initiatives for improvements. Experienced with computers and a variety of programs. Act with discretion when dealing with matters of a confidential nature.
