Duties and responsibilities Health & Safety Be an advocate for Health and Safety both internally with colleagues and with Customers and Suppliers Near-miss Incidents – Report any site safety or near-miss concerns to the company Health and Safety executive. Compliance Employment Law – Ensure all employee activities carried out on behalf of the company are done in line with employment law guidelines and regulations. Company policies and procedures – Ensure adherence and compliance with all in-house policies and procedures. Qualifications – Ensure that all drivers and Forklift operators hold the appropriate in-date license and supporting qualifications. License Checks – Carry out quarterly license checks to ensure eligibility to drive. Key Accountabilities Recruitment – Post job advertisements to online advertising boards and via internal communication avenues. Screening applicants with a view to schedule interviews and/or driving/forklift assessments. Carrying out right to work and reference checks for new employees. Starter Documentation – Creating starter packs for new employees, ensuring the return of signed documentation. Onboarding – Carrying out induction process for local depot employees and adding all new starters to various in-house systems including Sage payroll. Benefits Administration – Manage employee profiles on the EAP platform and the in-house holiday management system. Probation completion – Monitor employee probation completion dates, requesting probation review documentation and issuing probation completion or failure letters. Record Keeping – Maintain accurate records and up to date employee records in line with company processes and data protection regulations. Employee Communication – Draft and distribute employee comms to support engagement, paying careful attention to tone of voice. Policy Updates – Update policies as required, ensuring that changes are noted in the company newsletter and the latest versions of handbooks are distributed to depots. Advice and support – Provide guidance and support to depot management teams and employees regarding various processes such as disciplinaries, grievances, performance and absence management etc. Drafting of invitation and outcome letters and supporting with note taking as required. Payroll Support – Support with the checking of the fortnightly payroll and providing holiday/absence cover for the complete payroll process as required. Contracts – Support with the management of soft service contracts across depots. Travel to UK sites when required to support them with HR issues General Administration Perform tasks such as database entries and filing. Ad hoc duties as may be reasonably required for the achievement of continuous improvement within the HR function. Setting up staff files on HRIS system. Processing starters and leavers. Issuing and recording of fuel cards. Supporting managers in absence disciplinary meetings KPI Reporting Logging and monitoring of Key Performance indicators, for timely feedback to operations director. * Absence management statistics – Weekly * Open Vacancies and time to fill – Weekly * Starter and leavers statistics – Weekly * Employee numbers by job type – Weekly * Exit interview data – Monthly * Other KPI measures as may be reasonably required. Experience required CIPD Qualified minimum of level 3 Minimum of 2 years experience in a HR environment with sound knowledge of Employment Law and HR policies and procedures Full Driving license
