About The Role Key Purpose: To be a frontline responder to all enquiries communicated into the hire desk team. To provide excellent and differentiating customer service. To help support, guide and supervise the hire desk. To help make Svella Asset Services a great place to work. The hire desk supervisor will be chiefly responsible for managing our record keeping to the highest standards and supporting the hire team. Roles and Responsibilities: 1. Delivery of world-class customer service. Receiving and actioning requests for new plant or vehicles in a timely, concise manner, commensurate with the goals of our customers 2. To receive off-hire requests and progress through to final collection of the asset. This will include keeping all parties fully informed throughout and fully updating our records upon off-hire. 3. To supervise the critical Motor Insurance Database (MID). The supervisor will be expected to monitor the maintenance of the MID, ensuring that all vehicles are insured and vehicles which are no longer in our custody are removed. 4. Working with the hire desk team, support the management of fuel card control, keeping a regular check on the usage of our cards, removing cards no longer required and ensuring 100% compliance with process. 5. Monitoring of employee productivity and performance. Devise measurement methodologies, create a framework for success, and provide constructive feedback and coaching. Alongside the General Manager, construction of back-office processes. 6. Guiding and supporting the hire desk team. Setting of goals and targets for the hire desk in line with the wider business objectives of Asset Services and our customers. 7. Organising and prioritising the workflows, ensuring that employees fully understand their duties and delegated tasks, ensuring a consistent focus on the critical. 8. Provision of timely and accurate reports to the line manager and the wider business. Using our systems to report on utilisation figures to include, but not limited to: new hires; off-hires; hire extensions; purchase requests to the General Manager to support strategic decision-making. 9. Creation of purchase orders where required. 10. Ad-hoc support to the General Manager as required by the business. Responsibilities 1. The job holder has a responsibility to carry his/her duties in an efficient and conscientious manner. 2. The job holder will undertake appropriate operational, compliance, technical and commercial awareness training relating to the role. 3. To interact with internal departments/suppliers/customers in pursuance of the stated duties. Skills Required: Essential 1. IT literate with experience of systems and Microsoft Excel. 2. Demonstrable organisational and communication skills 3. Ability to handle pressure and work swiftly in reaction to unforeseen events. 4. Driving licence (maximum 6 points). 5. Previous supervisory experience. Desirable 1. 2 years’ experience in a hire or asset management role. 2. Basic understanding of plant equipment and vehicles (not mechanical). 3. Experience of Fleet Management systems.
